Ledgant Privacy Policy
This Privacy Policy explains how Ledgant, LLC ("Ledgant," "we," "us") collects, uses, and protects information when you visit ledgant.com or use the Ledgant application at app.ledgant.com (together, the "Service").
Ledgant is business software for construction contractors. We are not in the business of selling data. We do not sell personal information, and we do not use your business data for advertising.
1. Information we collect
On ledgant.com (our marketing site). If you request early access, we collect your email address, the page you signed up from, and your browser's user-agent string. The marketing site does not use analytics trackers, advertising pixels, or third-party cookies.
Account information. When you create a Ledgant account, we collect your name, email address, company name, and role. If you invite team members, we collect the names and emails you provide for them.
Business data you enter. Ledgant stores the operational and financial data your company enters into the app: jobs, schedules, estimates, invoices, purchase orders, expenses, receipts, equipment records, subcontractor and supplier records, schedules of values, pay applications, change orders, lien waivers, timecards, and payroll records, along with documents and images you upload.
Employee information you enter. If your company uses Ledgant's crew, timecard, or certified payroll features, you may enter information about your employees, including names, contact details, work classifications, wage rates, hours worked, payroll deductions, and the last four digits of a Social Security number (used solely to populate government certified payroll forms such as federal form WH-347). We never collect or store full Social Security numbers, and our systems are designed to reject them.
Voice recordings. If you use voice features, your audio is streamed to our speech-to-text provider to be transcribed and is used to carry out the action you requested. Voice input is processed to provide the feature, not to build advertising profiles.
Payment information. Subscription payments are processed by Stripe. Your full payment card details go directly to Stripe and are never stored on Ledgant's servers.
Technical information. Like most services, we and our hosting providers collect standard technical logs (IP address, browser type, timestamps) for security, debugging, and abuse prevention.
2. How we use information
We use the information described above to provide and operate the Service; to sync data with integrations you connect; to generate documents you request (such as pay applications, certified payroll reports, and compliance binders); to provide support; to send service-related communications; to secure the Service and prevent abuse; and to comply with legal obligations.
We do not sell personal information. We do not use your business data or your employees' information for advertising, and we do not permit our service providers to use it for their own purposes.
3. QuickBooks and connected integrations
If you connect Ledgant to QuickBooks Online, we access your QuickBooks data through Intuit's authorized API, only with your permission and only to provide the sync features you enable (such as syncing invoices, bills, customers, and vendors). We use QuickBooks data solely to provide the Service to you. We do not sell it, use it for advertising, or share it with third parties except the subprocessors that host and operate the Service. You can disconnect QuickBooks at any time from within Ledgant, which revokes our access tokens. Your use of QuickBooks remains subject to Intuit's own terms and privacy policy.
4. Artificial intelligence features
Ledgant's assistant features are powered by third-party AI providers. When you use these features, the relevant text (and transcribed voice input) is sent to our AI provider to generate a response. Our AI providers process this data as service providers on our behalf; under our API agreements, they do not use your data to train their models.
5. Service providers (subprocessors)
We use a small number of vetted service providers to operate Ledgant, each limited to processing data as needed to provide their service to us:
- Supabase — database, authentication, and file storage
- Vercel — web hosting and content delivery
- Stripe — payment processing
- Intuit (QuickBooks Online) — accounting sync, only if you connect it
- Anthropic — AI processing for assistant features
- AssemblyAI — speech-to-text for voice features
- Resend — transactional email delivery
6. Your employees' information
For information about your employees that you enter into Ledgant, your company is the controller of that data and Ledgant processes it on your behalf and at your direction. You are responsible for having an appropriate basis to enter your employees' information into the Service. We process it only to provide the features you use, protect it as described in this policy, and delete it as described below. If one of your employees contacts us directly about their data, we will refer them to you and reasonably assist you in responding.
7. How we share information
We share information only with: (a) the service providers listed above; (b) other users within your own company account, according to the roles and permissions your company sets; (c) recipients you direct us to share with (for example, when you email an invoice or export a compliance binder); (d) authorities when required by law; and (e) a successor entity in the event of a merger, acquisition, or sale of assets, in which case this policy will continue to apply to your data.
8. Security
We take security seriously. Data is encrypted in transit; access to customer data is restricted through row-level security so that each company's data is isolated from every other company's; role-based permissions within your account restrict financial data to the roles you authorize; and payment details are handled exclusively by Stripe. No system is perfectly secure, but we design conservatively and review our security posture regularly.
9. Data retention and deletion
We retain your data for as long as your account is active. If you cancel, you may export your data, and we will delete your company's data within 90 days of a verified deletion request, except where we are required to retain records for legal, tax, or accounting purposes. Waitlist emails are retained until you ask us to remove you (email us anytime).
10. Your rights
Depending on where you live, applicable U.S. state privacy laws may give you rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain processing. We honor these rights regardless of where you live: contact us at the address below and we will respond within the time required by applicable law. We do not sell personal data or process it for targeted advertising, so there is nothing to opt out of on those fronts.
11. Children
Ledgant is business software and is not directed to anyone under 18. We do not knowingly collect information from children.
12. Changes to this policy
If we make material changes, we will update the effective date above and notify account owners by email or in-app notice before the changes take effect.
